Dear Readers,

The work of IT Services is already in full swing in the new year. In this first issue of insideIout, we can already report on some of our innovations.

We have introduced eSign, a service for the electronic signing of documents that is integrated into the Adobe Suite. This allows documents such as contracts to be signed securely, and purely through electronic means. With Polycloud, we are offering a portal for our virtual servers that allows users to manage their servers themselves, from provisioning to decommissioning, and make full use of the server performance they have ordered. And finally, we have started to migrate all the Windows workstations we manage to Windows 11 and OneDrive. This enables us to provide a modern IT workplace that, for example, better supports location-independent work. With all these innovations, we are driving digitalisation forward in various areas: for you, for your colleagues and for the students of ETH Zurich.

Our event tip: Immerse yourself in the world of IT. For the public and for interested ETH members, we are opening our doors with guided tours and programming workshops during Informatiktage.

eSign: Sign documents electronically

eSign: Sign documents electronically
As part of its digitisation strategy, ITS launched the eSign service. eSign is based on the Adobe Acrobat Sign product for electronic signatures / signing. It provides a legally binding method to securely obtain or grant consent or approval for a digital document. Electronic signatures are verifiable and can replace manual signatures in many transactions.

With the Adobe eSign solution, ITS can provide electronic signatures according to ZertES (Swiss Federal law on electronic signatures). Documents, contracts or papers can be signed easily, quickly and securely. Both at home and abroad. And this is a great relief from an organisational point of view, as it makes efficient collaboration across different locations easy. The service should be used primarily for transactions with external parties (non-ETH Zurich members) and only in special cases for transactions within ETH Zurich. eSign can be obtained from the IT Shop after registering once. The signature process requires external signatories (non-ETH Zurich members) to provide their mobile phone number in order to authenticate themselves. The use of eSign is associated with cloud-specific risks, about which information will be provided through various awareness-raising measures. New onboarding process for new members
New employees and students will receive better support in setting up access and be guided through the entire process. The process includes changing the initial password, storing contact details for the reset feature and MFA registration.

Windows 11 & OneDrive

ZO gets Windows 11 & OneDrive
A double premiere at Central Bodies (ZO): they are getting Windows 11 and at the same time OneDrive as their new personal data storage system. Employees will thus receive better support for their new, hybrid ways of working. Whether it's working from home or from anywhere else. Around 1,700 ZO clients will be migrated to the new client setup by the end of June 2023. Never before has a new operating system been migrated so quickly

In the further development of the Windows-based IT workplace, the ZO IT Support Group focused on the changes of the last few years. In addition to the approximately one-year test phase and development, the decision was made not only to migrate to Windows 11, but also to integrate a new cloud-based data storage system at the same time: Microsoft OneDrive.

Now it’s time to migrate to the new client setup – with Windows 11, updated via Windows Update for Business and Microsoft OneDrive. Employees can look forward to a modern ZO client with new features added on an ongoing basis in the future. Windows 11 does not make any fundamental changes. Microsoft OneDrive marks the introduction of a new personal data storage system, which can be used to collaborate even better on documents. The whole thing is supported with 1 TB of storage space. The new client setup will now be made available to all ZO staff to provide them with even better support in their new way of working. More information and background can be found on the ITS Blog.

New self-service portal Polycloud

Virtual servers in ETH's own private cloud
Automated management of the entire life cycle of your own virtual server. This is made possible by the new Polycloud service in ETH's own private cloud. Virtual servers can be created, modified and maintained up to the point of decommissioning via a self-service portal. You determine the size of the project and can make full use of the allocated resources within that volume.

In a consultation, customer requirements are recorded and the project is then created, the resources allocated and user access enabled in the onboarding process. When the service is handed over to customers, they are given an introduction to how to use it. Virtual machines with the desired resources can then be created and operated independently. Fully automated or individually definable deployments are available.

The service is available immediately and will be continuously expanded according to customer requirements. More information can be found in the IT Service catalogue.

E-Learning information security
Information security compliance module update
The information security E-Learning compliance module has been updated (ETH login). It is recommended to replay or repeat the module and be up to date in 20 minutes. Good luck in solving the tasks.

Informatiktage 2023

Exclusive IT Insights at ETH
Informatiktage 2023 will take place in Zurich from 27 March to 1 April. IT Services (ITS), together with the Department of Computer Science (D-INFK), will represent ETH Zurich. On Saturday, 1 April, there will be an open day at the Zentrum; during the week, exciting guided tours await.

Immerse yourself in the world of IT at ETH Zurich: this year, the ITS team has once again put together exciting programmes for you. Our goal is to bring computer science and the university closer to the public and to inspire as many people as possible for IT.

In March 2020, all Informatiktage programmes had to be cancelled due to Covid. The next two years focused on online programmes, which brought us participants from all over the world. Now, we are opening our IT doors once again and making up for lost time with guided tours and an open day in ETH's CAB building. There are still places available, and many of the attractions do not require registration. More information can be found on the website of Informatiktage.
